Lodging Terms & Conditions

By booking our space, you agree to the following terms and conditions. By booking with us, you acknowledge that you have read our policies and agree to communicate them to your guests. Our policies and house rules do change from time to time, so please check back often. 

The individual making the reservation (“Responsible Party”) assumes full financial and legal responsibility for all guests, visitors, and invitees associated with the reservation.

Booking & Payments 

BOOKING 

Guests booking the lodge must be 18 years or older. We accept Visa, MasterCard, American Express, and Discover and charge a 3% processing surcharge. To avoid this fee, payment may be made via digital bank transfer or paper check. Reservations are not confirmed or held without a signed contract and a cleared deposit. The Black Diamond Lodge is not responsible for weather conditions, acts of God, road closures, personal emergencies, airline disruptions, illness, or schedule changes of any kind. Travel insurance is strongly recommended. Failure to purchase travel insurance does not waive cancellation or refund policies.

BOOKING REQUIREMENTS

Valid contact information is required for the Responsible Party, including full legal name, address, phone number, email, and signature. The first and last names of all guests occupying rooms must be submitted via the digital pre-lodging questionnaire no later than fourteen (14) days prior to check-in. Failure to submit guest information by the deadline may result in delayed check-in or denial of access.

CANCELLATION

The Lodge reserves the right to cancel any reservation without refund if these Terms & Conditions are violated. If the Lodge must cancel for reasons outside its control, liability is limited solely to the refund of payments received. No additional compensation, relocation assistance, or reimbursement will be provided.

CLEANING FEE

A non-refundable cleaning fee is charged per reservation. This fee is subject to change and confirmed at booking. The standard cleaning fee does not include excessive mess, biohazards, bodily fluids, or trash beyond normal use, which will incur additional charges.

GUEST PAYMENTS 

If guests contribute toward lodging, the Lodge may bill guests directly upon request. A completed lodging questionnaire including room assignments, amounts, and full legal names is required. The Responsible Party remains liable for any unpaid balances prior to checkout. Any overpayments will be refunded only to the original booking party. The Lodge is not responsible for disputes between guests regarding shared payments.

PAYMENT METHOD

Payment may be made via check, cash, bank transfer, or credit card (3% surcharge). A valid credit card must be kept on file for all reservations and is required for damage authorization regardless of payment method. Declined cards or reversed payments may result in immediate termination of the reservation.

REFUNDS

All deposits are non-refundable but may be transferred to a new date subject to availability. The new date must be selected within thirty (30) days of cancellation and approved by the lodging team. Rate differences apply. Date transfers are permitted once per reservation only.

TAXES

Applicable state, county, and local lodging and sales taxes will be charged in accordance with local regulations and disclosed during booking.

Check-In

CHECK-IN 

Check-in begins at 4:00 pm. Early check-in is not available. Pre-arranged luggage or décor drop-off may occur after 10:00 am in the mudroom only. No early drop off will be allowed in kitchen areas (including refrigeration areas). Items left unattended prior to check-in are left at the guest’s own risk.

CHECK-IN REQUIREMENTS

Guests must be at least 18 years of age to check in at The Black Diamond Lodge.  In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government-issued photo identification (State driver’s license, passport, etc.) at check-in.  A valid, signed, and pre-approved credit card in the guest's name is also required. 

DAMAGE DEPOSITS 

A damage authorization is required at check-in. Charges may be assessed within seven (7) days post-checkout. Damage liability is not limited to the deposit amount. Guests are responsible for all repair, replacement, cleaning, labor, and administrative costs. Missing items will be charged at 120% replacement value plus shipping and handling. Excessive cleaning, waste, or biohazards may result in additional charges beyond standard fees.

DOOR CODES

Door codes to each lodging room will be provided to individual guests upon check-in. We can also give the full list to one designated party if desired. Enter the code, then turn the deadbolt to unlock the door. To lock, simply press the top rectangular button, then turn the deadbolt.

PRE-AUTHORIZATION

We require pre-authorization of credit cards/debit cards at check-in. A pre-authorization is a temporary hold of a specific amount of your available credit limit balance placed on your credit/debit card for the full amount of your intended stay, plus tax.  All credit/debit cards are pre-authorized at check-in.  Pre-authorization is not a charge to your account; it is a hold on those funds.  Once your actual charge is posted at checkout, it can take 24 hours to 30 days for your bank to remove the original pre-authorization.  Generally, most banks release the hold within 3-5 days.  It is your responsibility to understand how your bank handles all your transactions, including preauthorizations.  We are unable to remove pre-authorizations directly through our hotel. The Lodge cannot alter or expedite bank hold releases.

Checkout

CHECKOUT 

Checkout is at 10:00 am on the day of your scheduled departure. No late check-out will be accommodated. Should you stay past 10:00 am without prior arrangements, you will be charged a $500 late checkout fee due to the high demand and quick turnovers in our lodge. 

Policies

ALCOHOL

Registered guests of legal age who choose to bring their own alcoholic beverages may drink them throughout the property. No alcohol on the hot tub deck. Please designate a sober driver for every person who needs to drive to town or other accommodations. We highly recommend hiring a shuttle for special events. The Lodge assumes no liability for alcohol-related injuries, incidents, or violations.

FIREARMS 

Please adhere to all local, state, and federal firearm regulations. Law enforcement will be called if legal regulations are not adhered to. Firearms must be stored safely and may not be displayed in common areas.

PETS 

Keep all pets confined to YOUR room, the lobby, and downstairs, NOT the event dining room upstairs. We do not allow any dogs in the North side lodging wing. You must clean up after your dog outside. If your dog barks incessantly while in your room or the lodge common areas you will be asked to leave or referred to the kennel down the street. Any damage or mess will be deducted from your damage deposit. Emotional support animals are not exempt unless legally defined as service animals.

QUIET HOURS 

Noise should be kept to a minimum past 8:00 pm outdoors and 10:00 pm indoors. Please respect quiet hours from 10:00 pm-9:00 am. That means no screaming, partying, playing music, dj’ing, etc past these times. Let’s respect our neighbors! Repeated noise violations may result in eviction without refund.

SMOKING
For safety and to assure that our facility is not exposed to items or actions that are difficult to remove from the air, carpet, walls, and furniture, we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges, hookahs, incense, cigars, candle burning, or essential oil diffusing. Should you need to smoke, please go outside at least 30 feet from the building (that means near your car in the parking lot). If the fire alarms or sprinklers are set off as a result of you smoking you will be charged a $1200 fine. Guests are encouraged to notify the staff immediately if they smell any smoking odors. Odor remediation may result in additional cleaning charges.

Amenities 

AMENITIES

Our additional amenities include ice, a game room, a fire pit, patio heaters, a grill, and laundry. They are located on the bottom floor, down the stairs from the lobby. Please let us know if you need help with any of these amenities. Firewood is provided and available on the back patio. Propane is also provided for the grills and heaters. All tanks should be full when you arrive, but please notify our staff if you run out! 

 All amenities are used at guest’s own risk. No lifeguard or supervision is provided in spa areas. Guests assume all risk of injury related to hot tubs, saunas, steam rooms, fire pits, grills, and fitness or recreational equipment.

ADA/HANDICAPPED ROOMS

BREAKFAST 

Help yourself to coffee, tea, hot chocolate, bagels, and cream cheese in the breakfast room off the lobby. Help yourself to the refrigerator, oven, and kitchen items. Please wash and put away any dishes you plan on using. A full list of what is provided in our kitchens can be found HERE.

DIRECTIONS & PARKING

The best address for Google Maps is “48475 Highway 550; Durango, CO 81301.” Please instruct your guests to drive past the lodge on their left and park in the designated parking lot. The main lodge entrance is the one with a large patio as you drive up. 

Please do not park along the road or behind the lodge. The area behind the Columbine room is for loading ONLY. We WILL call a tow truck if you are parked out of a designated parking area, as it’s a fire truck and emergency access issue. 

EVENT SPACES

Inquire with our team about booking our event venue. All event spaces are scheduled separately from lodging. The upstairs banquet hall will be locked at all times when not in use. Event guests may only be in the venue spaces during the times they are contracted for. Any access outside of these hours, including rehearsals, tours, walkthroughs, etc. must be requested prior to guest arrival. Please let our staff know ahead of time (at the beginning of your stay) if you need to get in one to decorate, set up, etc. Please review our terms and conditions for our event venue HERE.  

MAIL

You or your guests are welcome to ship packages, decor, or attire to the lodge within 14 days of check in. Our address is 48475 Highway 550; Durango, CO 81301. For organizational purposes, it's best to add the booking party’s name so we can find the correct party if the package hasn’t been picked up. If you are able to let us know ahead of time via email, that is appreciated. 

REFRIGERATION 

There is a large refrigerator/freezer in the breakfast room, as well as two in the Columbine room that you can use during your stay. Coolers likely make the most sense for drinks to allow space in the fridge for other foods, and to allow for rapid cooling over ice. 

SPA AREAS

The sauna, steam rooms, and hot tubs are available for you to use 24/7 during your stay. No lifeguard on duty. Kids under 14 must be accompanied by an adult at ALL times anywhere in the spa area. No dogs, food, drinks, or smoking is allowed in the Hot Tub area. Please notify lodge staff of any issues with any spa equipment. Please refer to the posted rules at the Hot Tub for more use guidelines and rules. These guidelines and rules are considered a part of our Hotel Policy/House Rules. Towels are provided. Please use the dedicated hot tub towels for the hot tubs and leave your room towels in your room!

STAFFING 

Any of the Black Diamond staff will be happy to help you with any questions you have during your stay. Feel free to call or text our main line at 970-509-2199 for any issues prior to or during your stay.

The Lodge may have staff on property at times but does not guarantee 24-hour staffing or immediate assistance outside advertised hours. Guest acknowledges that assistance availability may be limited and that the Lodge is not liable for delays in support or response outside normal operating hours.

STORAGE 

All outdoor gear, including bicycles, skateboards, mountain bikes, skis, snowboards, etc, should be stored in the “Mud Room”, NOT in your lodging room. The Mud Room also functions as a great “staging” location for weddings and events. Please store your decorations and other event items in this room before use, not in the lobby or other common areas. 

WIFI INTERNET ACCESS 

Our Wi-Fi is free for guests, and they are expected to use it fairly and appropriately. The internet access is intended for general use, such as email, messaging, or social media. It is not intended for heavy media streaming or extensive downloads or uploads. Access to or use of our network for illegal activity is prohibited and will be reported to local authorities. Should you need to work during your stay, we recommend you go to one of the awesome Durango coffee shops for a more reliable and quicker connection. 

Other Terms

CHANGES TO RULES 

Please check back often to this page. The Black Diamond Lodge reserves the right to amend, modify, change, cancel, vary, or add to these policies or the content featured on our website at any time without any prior notice. A copy of these rules is located on our website and available at the front desk upon request.

EMERGENCIES

Guest understands that in the event of a medical emergency, accident, injury, fire, or other emergency, Guest must call 911 or appropriate emergency services immediately. The Lodge may provide contact details for local medical facilities or support upon request, but does not guarantee the availability of response personnel.

FORCE MAJEURE 

The Lodge is not liable for failure to perform due to events beyond its control, including weather, fire, flood, power outages, government orders, or natural disasters.

LAWS

Guests are required to comply with all Government rules and regulations during their stay on our property. 

LIMITATION OF LIABILITY

To the fullest extent permitted by law, the Guest agrees that the Lodge and its owners, affiliates, employees, and agents shall not be liable for any injury, loss, damage, or expense arising out of or in connection with Guest’s use of the premises, facilities, or amenities, including but not limited to personal injury, property damage, or death, whether caused by negligence or otherwise. Any claim shall be limited to the total amount paid for lodging. Guest agrees to indemnify and defend the Lodge against claims caused by Guest or Guest’s invitees.

LOST & FOUND

The Black Diamond Lodge assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please fill out THIS FORM immediately and we will try to assist you in locating your lost item. 

Any item, with the exception of perishable items, left behind by our guests and found after departure by Housekeeping will be collected and kept in a secure location for up to fourteen (14) days for the owner's collection. Reasonable effort will be made to notify the guest that an item has been found. If we are unable to contact the guest during the fourteen (14) day holding period, the unclaimed item(s) are discarded, donated to local organizations, or disposed of accordingly.

We would be happy to return your lost item(s) to you by United States Postal Service, with the guest being responsible to cover shipping costs. We are not responsible for any item lost or misdirected during shipment by the United States Postal Service. 

MEDICAL SERVICES

The Lodge does not provide medical services or professional medical personnel, and no medical staff is on duty. Guest acknowledges and agrees that the Lodge is not responsible for providing first-aid supplies, medications, or emergency medical treatment. Guest assumes all risk associated with health conditions, injuries, or medical events occurring on the property, and agrees to seek appropriate medical care when necessary.

OCCUPANCY

Room occupancies are as listed on our room assignment worksheet and they shall not exceed the number of beds listed. Sleeping in any common areas on couches or the floor, including the lobby, game room, movie room, or otherwise, is strictly prohibited. Room occupancy requirements are based on fire code/fire safety restrictions.  If you exceed the maximum number of guests allowed, you will be asked to vacate the hotel.

PROPERTY IMPROVEMENTS 

The Black Diamond Lodge assumes the right to make any changes and/or improvements to the grounds or structures without the consent of any guests. Any changes will be communicated to the guests as early as possible, and all construction will be scheduled around events whenever possible. Should any major construction impede your stay, necessary adjustments shall be made at the sole discretion of the Black Diamond Lodge staff. 

PUBLIC ACCESS & SHARED SPACES  

The Black Diamond Lodge reserves the right to book any of our event spaces during your lodging stay to another party. These events may allow for public access of the lobby, ceremony sites, and banquet hall spaces, as well as the parking lot. The lodging areas of the lodge, the spa, as well as the bottom floor of the building, will be reserved for you and your lodging party only. We will always work to ensure all parties have an amazing experience during their stay. The Black Diamond Lodge reserves the right to schedule walkthroughs with future groups or wedding couples during your stay. These walkthroughs will always be accompanied by a staff member or our management company. The walkthroughs will not access any lodging rooms in use and will take care to be as unobtrusive as possible.

RATES

All rates are quoted in United States currency, plus tax.  Rates may increase without notice.  Rates as advertised on The Black Diamond Lodge website or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion.  All reservations are subject to availability.

RIGHT TO REFUSE SERVICE

The Black Diamond Lodge is privately owned and operated.  We reserve the right to refuse service to anyone for any reason(s) that do not violate Federal or State laws.  We have a zero-tolerance policy for infractions of these terms and conditions. 

ROOM ACCESS

We do not provide daily housecleaning of the lodging rooms and common spaces. For longer stays our team may come through to collect trash and check for safety and verify the condition of the rooms. Management reserves the right to enter any lodge rooms at any time for emergencies, housekeeping, maintenance, safety, or to address or prevent a violation of our Terms and Conditions. Law enforcement will be granted immediate access to hotel property and rooms upon request.

TENANCY

Nothing in this agreement shall constitute or create any tenancy or sub-tenancy. The management shall always be deemed to be in full and absolute possession of the entire hotel premises.Vehicles, belongings, and personal property are parked or stored at guests’ own risk. 

VEHICLES 

The Black Diamond Lodge does not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property.  If a vehicle is left in the hotel parking lot after the guest has departed without the written consent of the hotel, the hotel reserves the right to have the vehicle towed at the owner’s expense.

The links provided on The Black Diamond Lodge website are for the convenience of site visitors and are provided in good faith. The Black Diamond Lodge does not accept liability for the contents or links provided on such websites, nor does it accept liability for any indirect or consequential loss arising out of the use or connected with its website or other online marketing.

The Black Diamond Lodge makes every effort to ensure that all information on its website is accurate.  However, no warranty, expressed or implied, is given that the information provided on this website is error-free.  The Black Diamond Lodge does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice.

Checkout Checklist

The Black Diamond Lodge cleaning policy is to leave everything as you found it! If you or your guests need something a little more specific, here’s a quick checklist to run through before you leave. Please note that avoiding anything on this list could result in an additional cleaning fee or withheld deposit. Thank you again for visiting with us! We love sharing our space, our town and our mountains with you. We hope you come again soon! 

COLUMBINE ROOM (BASEMENT) 

  • Dishes are all clean, dried, and put away, dishwasher is clean and unloaded 

  • Trash has been taken out to the dumpster including any alcohol bottles or boxes - please break down any boxes before they go into our dumpster! 

  • Chairs have been put away 

  • Surfaces are wiped down - tables and kitchen area 

  • Anything that came in with guests, is leaving with the guests (this includes food, decorations, drinks, trash, etc)
    *** No need to move or break down any tables, or clean the floor - our cleaning team will take care of that! 

GAME ROOM (BASEMENT) 

  • Anything that came in with guests, is leaving with the guests (this includes food, decorations, drinks, trash, etc) 

  • If any glassware has made it out of the upstairs restaurant, breakfast room, or downstairs Columbine room and into the lobby, a guest room, or somewhere else in the building, please return it to the room it came from. 

BREAKFAST ROOM 

  • Dishes are all clean, dried, and put away

  • Trash has been taken out to the dumpster including any alcohol bottles or boxes - please break down any boxes before they go into our dumpster! 

  • Chairs have been pushed in

  • Surfaces are wiped down - table and kitchen area 

  • Anything that came in with guests, is leaving with the guests (this includes food, decorations, drinks, trash, etc)
    *** No need to clean the floor - our cleaning team will take care of that! 

OTHER 

  • Has anything been broken during your stay? Did you notice anything that was broken? Please let us know so we can make sure to fix it in time for our next guests! 

  • Walk through the outside of the property including the front and back patios to check for dog poop or trash that may have been left by guests

  • Do one final walkthrough the building to make sure nothing has been left. If there is anything you don’t want to take with you, please bring it to the front desk. We’re happy to take leftover decorations, etc to the thrift store for you, but don’t want our cleaning team to have to pick it all up from around the lodge. 

  • If any glassware has made it out of the upstairs restaurant, breakfast room, or downstairs Columbine room and into the lobby, a guest room, or somewhere else in the building, please return it to the room it came from.
